Terms and conditions
These Terms & Conditions apply to the entire conference website and govern all registrations, payments, access to services, and participation in events supported by Scarsi.Event.
1. Purpose
These Terms & Conditions define the rules applicable to the use of the conference website, the registration process, the payment of registration fees, and participation in conferences and events.
By using this website and registering for an event, the user acknowledges having read, understood, and accepted these Terms & Conditions without reservation.
2. Organizer
The events are organized by the conference organizer (the customer of Scarsi.Event).
Scarsi.Event acts as a technical and organizational service provider.

3. Scope of Application
These Terms & Conditions apply to all users of the website, including visitors, registered participants, speakers, sponsors, partners, and authors.
They cover all services provided through the website, including access to information, registration, payment processing, administrative management, and redirection to external platforms.
4. Registration
Registration is carried out online through forms available on the website or via external platforms, including Jotform.
Users must provide accurate, complete, and up-to-date information.
Scarsi.Event reserves the right to refuse, suspend, or cancel any registration in case of incorrect, incomplete, or fraudulent information.
5. Registration Fees
Registration fees are indicated in euros (EUR) unless otherwise stated.
Fees depend on the selected category and services (student, academic, professional, workshops, social events, etc.).
Registration is considered final only after full payment has been successfully completed.
6. Payment Process
Registration and payment are carried out through the external platform Jotform.
Payments are processed securely by Stripe, which is the payment service provider integrated into Jotform.
All payment information (such as credit card number and billing details) is collected and processed directly by Stripe. Scarsi.Event does not have access to and does not store any banking or credit card information.
By completing a payment, the user agrees to the terms and conditions and privacy policies of Jotform and Stripe.
7. Confirmation of Registration
After successful payment, the participant receives a confirmation message or email.
This confirmation constitutes proof of registration and must be kept by the participant.
8. Cancellation, Refunds, and Payment Errors
Once a registration is confirmed and payment has been successfully completed, registration fees are non-refundable in normal circumstances. Registration is considered final and binding.
However, the following specific exceptions apply:
a) Duplicate payments
If a participant has paid several times for the same registration due to an error or technical issue, the overpaid amount will be refunded after verification.
b) Wrong service or category selection
If a participant has selected the wrong registration category or service by mistake, a correction, adjustment, or partial refund may be granted provided that:
- The request is submitted within a reasonable time after payment,
- The service has not yet been used or accessed,
- Administrative and transaction fees may be deducted from the refunded amount.
c) Refund procedure
All refund or correction requests must be submitted by email to: event.scarsi@gmail.com.
Requests are examined on a case-by-case basis and refunds are not automatic.
d) Cancellation or modification by the conference organizer
If the event is canceled, postponed, or significantly modified by the conference organizer, participants will be informed of the applicable conditions (refund, credit, postponement, or transfer), which are defined solely by the conference organizer.
e) Other costs
Scarsi.Event shall not be responsible for travel, accommodation, visa, or any other personal expenses incurred by participants.
9. Program Definition and Modifications
The scientific content, program, schedule, speakers, format, and structure of the conference are defined solely by the conference organizer.
Scarsi.Event acts exclusively as a technical and organizational service provider and does not determine or control the program content.
Any modification to the program, schedule, services, or access conditions is made only at the explicit request of the conference organizer and implemented by Scarsi.Event within technical feasibility.
Scarsi.Event cannot be held responsible for program changes decided by the conference organizer or for any consequences of such changes for participants.
10. Participant Responsibilities and Nature of the Service
Scarsi.Event provides online services related to registration, payment processing, and administrative management of conferences.
Scarsi.Event does not supervise, manage, or control participants, speakers, authors, reviewers, or event activities, whether the event is held online or on-site.
Rules of conduct, access conditions, participation policies, scientific evaluation processes, and disciplinary measures are defined and enforced solely by the conference organizer.
Scarsi.Event cannot be held responsible for participants’ behavior, interactions, or any incidents occurring during the event.
11. Intellectual Property
All materials provided during the event (presentations, documents, videos, recordings, website content, and any other materials) remain the intellectual property of their respective authors or the conference organizer.
Any reproduction, distribution, or commercial use without prior written authorization is strictly prohibited.
12. Images and Recordings
The event and its activities may be photographed, filmed, or recorded by the conference organizer.
Any use of participants’ image, voice, or likeness is governed by the policies defined by the conference organizer.
13. Personal Data
Personal data is processed in accordance with the Privacy Policy available on the website.
By registering, users consent to the processing of their data for purposes related to registration management and administrative communication.
14. Liability
Participation in the event is under the sole responsibility of the participant.
Scarsi.Event shall not be held liable for personal injury, loss, theft, or damage to personal belongings occurring during the event.
15. Force Majeure
Scarsi.Event shall not be held responsible for any delay, modification, or cancellation of services due to circumstances beyond its control, including natural disasters, health crises, governmental decisions, strikes, or technical failures.
16. External Services and Third-Party Platforms
The website and the conference workflow involve third-party services including, but not limited to, Jotform, Stripe, Google services, YouTube, and EDAS.
Jotform is used to manage registration forms.
Stripe is used to process secure online payments via Jotform.
Google services may be used for administrative document management.
YouTube may be used to host or display video content.
EDAS is used as an external platform for the submission, peer review, and management of scientific articles.
EDAS operates independently from Scarsi.Event and is not managed, controlled, or supervised by Scarsi.Event.
All data related to paper submission, author accounts, peer review, editorial decisions, and publication workflows are collected and processed directly by EDAS in accordance with its own terms of use and privacy policy.
Scarsi.Event does not access, store, manage, or control the data processed on the EDAS platform and cannot be held responsible for its availability, security, content, or data protection practices.
By using EDAS, authors and reviewers acknowledge that their relationship regarding article submission and evaluation is exclusively governed by EDAS and the conference organizer.
17. Applicable Law and Jurisdiction
These Terms & Conditions are governed by French law.
In the event of a dispute and failing an amicable resolution, the French courts shall have exclusive jurisdiction.
18. Acceptance of the Terms
Use of the website, registration for any event, submission of articles through linked platforms, and completion of any payment imply full and unconditional acceptance of these Terms & Conditions.
