The data controller is responsible for determining the purposes and means of processing personal data.

We only collect the information that you voluntarily provide through our website, contact forms, or external forms (such as Jotform), including:

  • Last name

  • First name

  • Email address

  • Phone number

  • Postal address

  • Affiliation (institution, company, or organization)

  • Information related to your event or request

When our forms are hosted or managed through Jotform, the same categories of data are collected through this service.

In case of online payment, payment data (such as credit card number, expiration date, and billing details) is collected and processed directly by Stripe. We do not have access to and do not store any banking or credit card information on our servers.

 

3. Purposes of Processing
Your personal data is processed in order to:

  • Respond to your contact requests and inquiries.

  • Communicate with you regarding the organization and management of your conference or event.

  • Prepare and send quotations or proposals if you request them.

  • Manage contractual relationships and related administrative processes.

  • Store and manage administrative and organizational documents related to your request.

The processing of your personal data is based on:

  • Steps taken at your request prior to entering into a contract, particularly when your message concerns a service, a quotation, or an appointment request (Article 6(1)(b) GDPR).

  • Our legitimate interest in ensuring proper follow-up, efficient communication, and sound administrative organization (Article 6(1)(f) GDPR).

 

5. Data Recipients

Your personal data may be accessed by:

  • Authorized persons within Scarsi.Event.

  • Technical service providers strictly necessary for operating the website and email communications, including the website hosting provider.

  • Jotform, used to manage online forms and collect information submitted by users.

  • Stripe, used to process secure online payments when applicable.

  • Google (Google Workspace / Google Docs), used to store and manage documents and files related to administrative and organizational activities.

All these service providers act as data processors and process personal data only on our behalf, in accordance with our instructions and their respective privacy policies.

6. International Data Transfers
Depending on the service providers used (including Jotform, Stripe, and Google), your personal data may be processed outside the European Union, particularly in the United States.

In such cases, appropriate safeguards are implemented in accordance with the GDPR, including the use of Standard Contractual Clauses approved by the European Commission or other legally recognized transfer mechanisms.

7. Data Retention
Your personal data is retained only for the period strictly necessary to achieve the purposes for which it is processed:

  • Unsuccessful contact requests are retained for a maximum of 3 years from the date of the last exchange.

  • In the event of a contractual relationship, data is retained for the duration of the relationship, then archived for the period required to comply with legal obligations and for evidentiary purposes.
