We only collect the information that you voluntarily provide through our website, contact forms, or external forms (such as Jotform), including:

First name
Email address
Phone number
Postal address
Affiliation (institution, company, or organization)
Information related to your event, registration, or request
When our forms are hosted or managed through Jotform, the same categories of data are collected through this service.
In case of online payment, payment data (such as credit card number and billing details) is collected and processed directly by Stripe. We do not have access to and do not store any banking or credit card information on our servers.
For scientific article submission and review, the website may contain links to the EDAS platform.
All data submitted on EDAS (including author accounts, manuscripts, reviews, and editorial information) is collected and processed directly by EDAS under its own responsibility.
Scarsi.Event does not access, store, manage, or control the personal or scientific data processed on EDAS.
3. Purposes of Processing
Your personal data is processed in order to:
Respond to your contact requests and inquiries.
Manage conference registrations and participant information.
Communicate with you regarding the organization and administrative aspects of events.
Prepare invoices, confirmations, or proposals if requested.
Manage contractual and administrative processes related to conference services.

The processing of your personal data is based on:
Steps taken at your request prior to entering into a contract and the performance of a contract (Article 6(1)(b) GDPR).
Our legitimate interest in ensuring proper administrative management, communication, and follow-up (Article 6(1)(f) GDPR).

Authorized persons within Scarsi.Event.
Technical service providers strictly necessary for operating the website and email communications, including the website hosting provider.
Jotform, used to manage online registration and contact forms.
Stripe, used to process secure online payments.
Google (Google Workspace / Google Docs), used to store and manage administrative and organizational documents.
For article submission and review processes:
EDAS is used as an independent platform. All data submitted on EDAS is processed exclusively by EDAS under its own responsibility and policies.
All these service providers act either as data processors (for Scarsi.Event) or as independent data controllers (for EDAS), in accordance with their respective privacy policies.
6. International Data Transfers
Depending on the service providers used (including Jotform, Stripe, Google, and EDAS), your personal data may be processed outside the European Union, particularly in the United States.
In such cases, appropriate safeguards are implemented, including Standard Contractual Clauses approved by the European Commission or other legally recognized transfer mechanisms.
7. Data Retention
Your personal data is retained only for the period strictly necessary to achieve the purposes for which it is processed.
Unsuccessful contact or registration requests are retained for a maximum of 3 years from the last exchange.
For confirmed registrations, data is retained for the duration of the event organization and then archived for the period required by legal and accounting obligations.
Data processed on EDAS is subject exclusively to EDAS’s own retention policies.
